5 minutesCollaborating on a School E-Safety Newsletter in a Shared Document
Four Year 8 Digital Leaders at Ysgol Bryn Celyn are writing the half-term e-safety newsletter for families in a shared cloud document. Something has gone wrong in the version history and the draft needs careful proofreading before it goes home.
While the register is called: write your name, class and date on your worksheet, then look at Section 1 of the stimulus sheet (the version history table).
Starter question: At what time did the word count suddenly drop from 340 words to 210 words, and who made that edit?

5 minutesHow teams work safely in a shared document
When several pupils edit the same cloud file at once, good habits stop work being lost or leaked. You will check permissions, version history, proofreading, link wording and final content.
Version history & permissions
- Version history: a timeline of saved changes showing who edited what and when.
- Permissions: rules controlling who can view, comment on or edit a shared file.
Comments & descriptive links
- Actionable comment: polite, specific feedback that names the exact fix needed.
- Descriptive link: link text that tells the reader where it goes, never just “click here”.

10 minutesStep 1: Resolve the version history and sharing mistakes
Use the version log and sharing banner in Section 1 of the stimulus sheet to answer Step 1 on your worksheet. Do not just restore an old version over the top of new work.
| Version | Time | Editor | Words | What happened |
|---|---|---|---|---|
| v1.2 | 09:22 | Carys | 340 | Added Section 2 (Gaming Chat and Spending Limits) |
| v1.3 | 09:35 | Harri | 210 | Pasted Section 3 over Section 2 by mistake |
| v1.4 | 09:42 | Seren | 215 | Tidied headings and added comments |
Key question: How can the team get Carys’s Section 2 back from v1.2 and keep Harri’s Section 3 and Seren’s edits from v1.4?

10 minutesStep 2: Proofread the shared draft (10 errors)
Read the newsletter draft in Section 2 of the stimulus sheet. There are 10 underlined or numbered spelling, apostrophe, homophone and comma errors. Complete the table in Step 2.
Worked example (Error 1):
Draft wording: “Dear parent’s and carers” → Correction: parents → Rule: Plural noun, not possessive, so no apostrophe is needed.
Look out for: ie / ei after c, their / there, its / it’s, double letters, missing apostrophes in contractions, and stray commas between a subject and verb.

12 minutesStep 3: Fix vague action links and unhelpful comments
Good collaborators write clear links for readers and polite, specific comments for teammates. Complete both tables in Step 3 of your worksheet.
Part A: Replace 3 vague links
- Never write “Click here”, “Link” or “Read more”.
- Name the destination clearly so screen readers and busy parents know where the link leads.
Part B: Rewrite 3 margin comments
- Replace rude or vague comments (“rubbish”, “IDK lol”, “Done”).
- Tag the right person, name the section, and state the exact action or check completed.

5 minutesStep 4: Write the 120-word phishing warning box
Section 4 of the newsletter is still blank. Using the notes in Section 4 of the stimulus sheet, write a clear 100 to 120 word warning box for parents and carers about fake school messages.
Checklist for your warning box:
- A clear subheading (for example: Spotting Fake School Texts and Phishing Emails).
- Three warning signs: urgent payment deadline, strange web address, asking for a password or bank details.
- Two safe actions: do not click the link; verify using the official school app or office phone number.
- Accurate spelling and punctuation throughout, checked with your partner.

3 minutesQuick self-check before handing in
Check your answers against these key solutions before your worksheet is collected.
- Version recovery: Copy Section 2 from v1.2 (09:22) into v1.4 so neither Carys’s nor Harri’s work is lost.
- Permissions fix: Restrict edit access to the Digital Leaders and teacher; share a view-only link or PDF with families.
- 10 proofread words: parents, receive, separate, passwords should, Don’t, their, its, account, embarrassing, definitely.
- Phishing box: Names 3 scam signs and tells parents to verify through the official school office or app.
