DCF: Interacting and collaborating → Storing and sharing
Name: Class: Date:
What this practises: storing and sharing files for a team, the way a stage management team does for a real production. Pupils find what has gone wrong in a messy shared folder, design sub-folders, rename files with a clear naming rule, decide who can view or edit each folder, and keep private contact details away from the cast. They also calculate how much storage the folder uses, how much a clear-out saves and how long an upload takes, showing their working. The school, the show and the files are invented.
Print: this sheet, one per pupil, and the stimulus sheet “What is in the Y Llong Goll shared folder?”, one between two. No computers are needed: the whole lesson is done on paper. Calculators are allowed in Step 3 for checking only.
Run: 5 min read Mr Price’s message aloud · 8 min Step 1, what went wrong · 10 min Step 2, folders and file names · 15 min Step 3, the storage sums · 12 min Step 4, sharing and backing up. Total 50 minutes. Pupils may talk quietly in pairs, but each pupil fills in their own sheet.
Collect: this sheet. The storage sums in Step 3 must show working.
Quick checks: the latest script is file 3 and the right storm is file 5. Files 8 and 10 are exact copies. File 12 holds private contact details and must go in a staff-only folder. Step 3: small files total 53.8 MB; whole folder 953.8 MB; deleting the 2 copies saves 454.6 MB; folder then uses 499.2 MB; space left 1500.8 MB; 3 more rehearsal videos fit; one video takes 90 seconds = 1 minute 30 seconds to upload. The worked example has every answer.
You are the stage manager for the Year 7 show Y Llong Goll. In a real theatre the stage manager keeps the most up-to-date script, the cue sheets and the contact list, and makes sure everyone is working from the same version. Your job today is to sort out the team’s shared folder so that nobody learns the wrong lines or plays the wrong sound again.
Key words:
Use the file list on the stimulus sheet. Find 4 different problems with the folder. For each one, give the file number(s) and what could go wrong in the show because of it.
| Problem | File number(s) | What could go wrong in the show? |
|---|---|---|
Why is “FINAL” a bad word to put in a file name?
(a) Draw a folder tree. The top folder is Y Llong Goll. Add 4 or 5 sub-folders. One of them must be for staff only. One must be for old versions, so nothing useful is lost.
Y Llong Goll
(b) Here is the team’s new naming rule. Every file name has 3 parts joined by underscores, and no spaces:
show_what-it-is_v1 for example llonggoll_seagulls_v1.mp3
The number after the v goes up by 1 every time a new version is saved. Rename these files. Keep the ending (.docx, .mp3 and so on) the same.
| No. | Old name | New name | Which sub-folder? |
|---|---|---|---|
| 3 | Y Llong Goll script FINAL (2).docx | ||
| 5 | storm sound new.mp3 | ||
| 4 | storm.mp3 | ||
| 7 | IMG_4032.jpg | ||
| 11 | lights.xlsx | ||
| 14 | poster.png | ||
| 15 | Document1.docx | ||
| 12 | cast phone numbers and addresses.xlsx |
Show your working in every box. Use the sizes on the stimulus sheet. Do the sums on paper first, then check with a calculator.
(a) Add up the sizes of the 13 small files (every file except 9 and 10). Tip: add the decimals in pairs that make whole numbers where you can.
Total of small files = __________ MB
(b) Add the 2 rehearsal videos. How much does the whole folder use now?
Whole folder = __________ MB
(c) Files 8 and 10 are exact copies. How much space do you save by deleting them?
Space saved = __________ MB
(d) How much does the folder use after deleting the copies? How much space is left out of 2000 MB?
Folder uses __________ MB. Space left = __________ MB
(e) Mr Price wants to save a 450 MB video of every rehearsal from now on. How many more videos fit in the space left? Explain why the answer is a whole number.
(f) The upload speed is 5 MB every second. How long does one 450 MB video take to upload? Give your answer in seconds, then in minutes and seconds.
__________ seconds = ______ minutes ______ seconds
(a) For each sub-folder in your tree, decide who can view and who can edit. Give each person or team only what they need.
| Sub-folder | Can edit | View only | No access |
|---|---|---|---|
(b) Why should the 24 cast members have view only access to the script, not edit?
(c) The night before the show, the school drive stops working. Which 2 files would the show be in trouble without? Where should a backup copy of them be kept?
(d) Write 4 folder rules to pin on the drama studio wall. Each rule must be short and clear enough for a Year 7 pupil.
